Reconciliation & reporting

Every acquirer, settled into one clean ledger

High-volume merchants run dozens of acquirer relationships. Each one ships its own settlement file, its own fees and its own portal. topropay pulls them all into a single normalised ledger. Captures match to settlements on their own. Your team reviews only what does not tie out.

From raw file to closed row

Four jobs your finance team stops doing by hand

Reconciliation across many acquirers is four repeated tasks. We run each of them for you, against one schema, so month-end closes on time.

01 Ingest

Every settlement file, normalised

Each acquirer ships its own settlement format. We pull them all in and map them to one schema. Captures, refunds, fees, chargebacks and payouts land in a single feed.

02 Match

Capture matched to settlement

Each capture is tied to the settlement line that paid it. The match runs on amount, currency, reference and date. Clean rows close on their own. You only review what does not tie out.

03 Explain

Fees and chargebacks itemised

Scheme fees, acquirer fees and chargebacks sit on the same row as the payment they touch. You see the true net of each transaction. No more guessing where a deduction came from.

04 Export

One ledger, pushed downstream

The matched ledger flows to your ERP, data warehouse or finance team. Pull it by API or scheduled file. Month-end stops being a spreadsheet chase across a dozen acquirer portals.

The path of one settlement

How a settlement becomes a closed ledger

Files arrive from every bank. Here is what happens between that raw drop and the numbers your finance team signs off. The same reconciliation engine closes the loop on every payment processing process across each connected acquiring bank.

  1. 01

    Collect

Settlement files arrive from each acquirer. We fetch them, parse them and store the raw record so nothing is lost.

  2. 02

    Normalise

Every line is mapped to one schema. Currencies, fee codes and references are aligned, so a payout from one bank reads the same as another.

  3. 03

    Reconcile

Each settlement line is matched to its capture. Matched rows close automatically. Anything that does not tie out is flagged as an exception.

  4. 04

    Report

The closed ledger and its exceptions are exported. Your finance team works from one source instead of a dozen acquirer dashboards.

Reporting that ties out

One source of truth for every payment

The dashboard turns the matched ledger into a view your whole team can use. Finance closes the books. Engineering pulls the same data by API. Nobody logs into a dozen acquirer portals again.

  • 1 ledger across every connected acquirer
  • 0 manual spreadsheets at month-end
  • Auto matching on amount, reference and date
  • API or scheduled file export to your stack
Dashboard

One reconciliation view

See settled, pending and disputed volume across every acquirer on one screen. Filter by market, currency or connector without leaving the page.

Exceptions

A clear work queue

Unmatched lines, fee gaps and duplicate captures collect in one queue. Each carries the data you need to resolve it, so nothing slips past month-end.

Exports

Finance-ready files

Pull the ledger as a scheduled file or live API feed. The schema stays stable, so your ERP mapping does not break when you add a new acquirer.

Before you ask

Questions finance and engineering raise first

Do we keep our own acquirer contracts?

Yes. topropay is a pure orchestration layer. You keep every PSP and acquirer deal. We add reconciliation above them, not in place of them.

Which formats can you ingest?

We map each acquirer's native settlement file to one schema on our side. You do not build or maintain a parser for every bank.

How do exceptions reach our team?

Unmatched lines land in a single queue with their source data attached. You can also stream them to your warehouse for your own alerts.
